Organiser’s Role for Tao Tantric Arts TTC
The Organiser takes care of online registration and all the logistics to ensure a smooth-running event for a teacher training.
Your role as Organiser is to do the pre-training registration, giving out of information, interviewing participants (including the healer and assistant), group support during the training and follow up correspondence.
This is a paid and dedicated role for the 6-12 months prior to the training. You will be working as a team with one or more assistants who assists on site before and during the training.
Summarized, the Organiser is responsible for:
- Pre-training registration and payment, giving out information, interviewing participants (including healer and assistant), and follow-up correspondence.
- General administration of TTA (keeping track of inbox, database and mailing list)
- Is present during whole course, including 5 days before and 2 days after the course
- During course responsible for logistics and communication/management of assistants
- Will teach a few classes a week (for example morning Qigong/Yin evening classes).
The Organiser will assist in the promotion of the training, both online and offline. There is also a big database of inquires from the past that can be accessed, and a mailing list. The role also includes following up inquiries promptly, with warm and friendly manner (inner smile!) and clear information. The Organiser will keep the mailing list up to date and update the website with new course dates and information. The content on the website and mailings is not part of the Organiser role, neither is the content of the guidebook and other course material.
The Organiser is responsible for a smooth registration process. This include a Skype interview with anyone who is not a current student of Shashi or Minke. Furthermore, the Organiser will send out all practical information regarding travel arrangements, preparations, and will communicate with participants and answer questions.
The Organiser processes payments of course fees, accomodation and meals. Therefore, the Organiser sends out specified invoices to all participants. The Organiser also handles refunds and payments to Guest Teachers. Within two weeks of finishing the training, the Organiser will present a financial overview: Payments, incomes and expenses will be logged in a spreadsheet by the organiser. This does not include the annual accounts for tax purposes - this is responsibility of Shashi and Minke. There is a dedicated bank account for Tao Tantric Arts, which the Organiser has access too. During the training, either a bank card or petty cash can be used for small expenses.
On site, the Organiser is responsible for room allocation, welcoming participants when arriving, organizing taxi's when needed. On-site coordination and logistics will be taken care of by a Site Manager. Management and communication among Assistants team is part of Organiser's task. The Assistants team takes care of Jade Egg Sales and other products - keeping track of purchases, sales and stock. Minke can make orders and arrange shipment. Assistant will sell the products and Organiser will present the total overview in a spreadsheet. The Assistant team also organizes events such as Women’s Healing Session & Shiva Shakti Celebration, day trips and weekend activities, dinners, transportation etc. Research and on-site visiting of new retreat centers is not part of the Organiser's role.
During the training, the Organiser is responsible for emotional group support and general spaceholding.
Organiser Fee is 20% of course fee per participant. Accommodation costs are covered for the entire duration of the course, including the obligatory 5 days before and 2 days after. Any extra days you spend will be out of your own budget.Travel costs, visa costs and meals are the organizer’s personal expense. Travel insurance and sufficient health insurance is obligatory. The 50% of Organiser Fee is paid one month before start of TTC. The remaining 50% and total balance will be paid latest two weeks after TTC has finished. In case of a refund or cancellation, the Organiser can decide to keep an Administration Fee of 100 GBP per deposit.
